Study Abroad Alumni Volunteers
The Office of Education Abroad (OEA) holds the annual Study Abroad Fair each fall semester. This event attracts hundreds of students who are able to explore different study and intern abroad opportunities. The OEA is always in need of Study Abroad Alumni to volunteer their time at the fair to share their experience with prospective students.
Volunteer Eligibility
Students who have already studied abroad as a UNC Charlotte student are eligible to volunteer at the Study Abroad Fair. Please note that priority is given to Study Abroad Peer Advisors, OEA Interns and OEA Scholarship Recipients.
How to Sign Up
All volunteer shifts for the Study Abroad Fair will be listed on the sign up. Sign up is on a first-come, first-served basis. If you sign up for a shift and can no longer commit to it, please remove your name from the sign up.

Check-In Procedures
All volunteers are required to sign in at the Volunteer Check-in table before the start of their shift. If volunteering for more than 1 shift, volunteers are required to check-in before the start of each 1-hour shift.
How long are volunteer shifts?
Each volunteer shift is 1 hour each unless otherwise noted.
Can I sign up for more than one shift?
Yes! We encourage you to take on as many shifts as you’d like, as long as the times don’t overlap.
I signed up for a volunteer shift using the online sign up. Is there anything else I need to do?
Nope! Once you sign up for a volunteer shift, you will receive an automatic confirmation email sent to the email address you provided when signing up. This means you are confirmed as a volunteer for that shift and we expect you to arrive at Volunteer Check-in table before the start of your shift!
How Can I View My Volunteer Shift(s) details?
You can view the shift(s) you signed up for 1 of 2 ways:
- Refer to the confirmation e-mail you received. This email is typically sent within 60 minutes of signing up. The email will come from “International Programs” and the subject line will be “You are signed up for the UNC Charlotte Study Abroad Fair 2024 – THANKS.” This email will outline the name, time and description of your shift.
- Go to the volunteer sign up (a link to this page is also in your confirmation email). If you are using a browser that is logged into the same e-mail address that you used to sign up, the system should recognize your e-mail address and will say “Continue as Guest” or “Continue as [Your Name].” If the system does not recognize your e-mail address, please use the “Sign In” link at the top of the website and use the same e-mail you used when signing up.
I want to volunteer but I would have to miss class. Can you write me a note?
Unfortunately, no. We’re happy that you would like to volunteer, but we do not condone you skipping class to do so and cannot write notes to excuse you from class.
I want to sign up for a volunteer shift, but I have to leave 20 minutes early so I can get to class. Can I still sign up?
We appreciate that you would like to volunteer at the fair, but if you cannot commit to volunteering for the full duration of the shift, please do not sign up for the shift. Due to the large scale of this event, we ask that students do not plan to arrive late or leave early as we rely heavily on our volunteers to complete the task for the full duration of the shift.
There are two volunteer shifts that I want to sign up for, but the times overlap. Can I still sign up for both?
We ask that you do not sign up for two shifts that have an overlapping timeframe. We rely on volunteers to participate for the full duration of their shift and this would cause confusion.
I’ve signed up for a volunteer shift but I’m no longer able to commit. What should I do?
We truly appreciate you canceling your shift if you are no longer able to commit to the event. You can cancel 1 of 2 ways:
- Go to the volunteer sign up (a link to this page is also in your confirmation email). If you are using a browser that is logged into the same e-mail address that you used to sign up, the system should recognize your e-mail address and a pop-up box should appear: You should click the option that says, “Continue as [Your Name].” If the system does not recognize your e-mail address or the e-mail address is not the one you used when you signed up, please use the “Sign In” link at the top of the website and use the same e-mail you used when signing up. Once you are signed into the system, you should see a blue banner that says “My Spots.” Once you click on the corresponding shift you want to cancel, click the trash can to delete spots you don’t want or use the +/- signs to add or remove entries. Click save once you are finished making updates to your shift(s) OR;
- Contact the OEA at edabroad@charlotte.edu with your first and last name, e-mail address, shift name and time. We can then cancel the shift on your behalf.
